PRIVACY POLICY

This policy (Personal data policy) explains which personal data we collect about you, when you participate in analyses that we conduct on behalf of our customers. In the following paragraphs, you can read about when and why we collect the data, how we use it, the conditions for our passing it on to third parties, and how we store it safely.

General

Wilke (”We”, ”our”, ”us”) are committed to protecting your personal data.

Please read the Personal data policy carefully in order to understand how we handle your personal data.


Information we receive from you or our customers

We typically handle the following data about you:

  • Name

  • Address

  • E-mail address

  • Telephone number


Information we collect directly from you

We collect the following data about you when you participate in surveys:

  • You consent to attend

  • Your answers and any comments on the surveys


Purpose

The purpose of processing your data is to take care of our customers’ interest in analysing the general or specific customer satisfaction for service improvements. In addition, we also conduct statistical, scientific and historical analyses aimed at informing the public or improving service at an overall level.

When we address you for the first time to obtain your consent to participate, you will receive further information of the purpose of the specific analysis.


Treatment basis

We process all your personal data based on your consent. You can retract it at any time by writing to us at privacypolicy@wilke.dk.


Profiling

Your reply to the survey, together with all other respondents’ replies to the same survey, is included in an analysis. Depending on the specific purpose and the wishes of our customers, the analysis will typically be divided into a number of categories that will enable us to match identical responses and do a relevant follow-up on the basis hereof (“Profiling”).

In most cases, it is an anonymous profiling when the results are presented to a third party. In certain surveys, however, there will be a personally identifiable profiling. For example, in a customer satisfaction survey you may be categorized as “satisfied” or “dissatisfied”.

When we address you for the first time to obtain your consent to participate, you will receive further information about the contents of the specific analysis.


Storage time

The collected data is kept until our agreement with our customers expires or until the data is no longer relevant, however no longer than 3 years after the date of collection.

If we have reason to store your data as part of the protection of our legal interests, for example legal requirements or disputes, we reserve the right to keep your data for an extended period of time and as a minimum until the end of the case. .


Sharing your informationr

We share your data with the customer for whom we conduct the survey and who is then responsible for your data.

When it is necessary for us to conduct the survey and analysis, we will also share your data with the following:

  • Other Wilke companies

  • Security-approved data processors assisting Wilke companies with IT- or other services

None of these third parties are entitled to use your data for own purposes, such as marketing or sale of your data.

Apart from the mentioned cases, we only share your data with third parties if we are required to do so as a result of legislation or so that we, or the concern, can protect our interests in a legal dispute.


Safety

AAll your data is stored on secure servers in Denmark and Britain.

We maintain the necessary organizational, technical and physical security measures to protect your data from accidental or illegal destruction, loss, alteration, unauthorized disclosure of or access in in accordance with data protection legislation in Denmark and the EU.

In spite of our efforts to establish a safe environment for the survey, you should know that no data is completely safe on the Internet. Therefore, you should always take the necessary security measures on your own equipment.

Your rights

You are welcome to gain access to the data we process about you, as well as to having information updated, corrected, deleted or handed out. All requests for this must be submitted in writing to privacypolicy@wilke.dk.

If you wish to complain about our processing of your data, please contact us first. If we cannot help you, you can complain to the Danish Data Protection Agency.
